From concept to full SaaS platform combining member administration, communication, events and payments for dog schools and associations across Belgium.
The challenge
Dog schools and associations across Belgium were working with a patchwork of Excel files, paper member lists and separate email tools. Membership fees were tracked manually, communication to members was time-consuming and error-prone, and board members had no central overview of their membership base. Registrations for courses and events happened by phone or paper forms, with all the administrative overhead that entails. There was a need for one central platform that digitizes the entire association management — from member registration to payment, from communication to event management.
Our solution
We developed LedenAdmin as a fully cloud-based SaaS platform, specifically tailored to the needs of dog schools and associations. The platform offers comprehensive member administration with photos and automatic membership card generation, a powerful communication system with mass email and SMS capabilities, and integrations with Mailchimp and Laposta. Members can register online for courses and events with direct payment. Membership fees are automatically tracked and collected. Board members share documents and reports through the platform, and members have access to their own member zone. The platform is fully responsive and works on laptop, tablet and smartphone. For larger organizations, we offer a white-label solution with custom branding and SMTP server. The system scales with the association through three packages: Starter, Premium and Enterprise.
The result
LedenAdmin is used daily by dozens of associations and dog schools across Belgium, including Smart Dogs, VFH vzw and NVBK vzw. The administrative burden for board members has been reduced by over 60%. Membership fees are collected automatically, dramatically reducing overdue payments. Communication to members now runs centrally and streamlined. The platform is continuously developed based on user feedback — new modules are developed and integrated on request at no extra cost.
